Filters Panel

The Filters panel helps you narrow down the segments displayed in the grid so you can focus on exactly the content you need. You can filter by text, statuses, custom fields, comments, lock state, change history, and more. Filters update in real time: results appear immediately as you add or change conditions.


Setting Up Filters

Open the Filters panel by clicking the Filters button in the toolbar. The number of active filters is displayed next to the button name.

Follow these steps to add a filter:

  1. In the Filters panel, click the green + Add a filter button.

  2. Choose a field from the dropdown list.

  3. Select a matching condition and enter a value, when required.

Managing Filters

  • Click the trash icon next to a filter to remove it.

  • Click Clear all to remove all active filters at once.

  • You can combine up to 20 filters at the same time.

Filters are scoped to the current document. When you open a different file or project, filters from your previous session are not carried over, so you always start with a clean view.

Filters also work alongside the Search Bar, so you can combine both for more precise results.
Filters are cumulative: all conditions must be met for a segment to appear in the grid.

My Filters (Presets)

If you frequently use the same filter combinations, you can save them as presets and apply them with one click. Click the My Filters dropdown at the top of the panel to access your presets.

Saving a Preset

  1. Configure the filters you want to save (add filters, set conditions and values).

  2. Click My Filters and select Create new preset.

  3. Enter a name for the preset and click Save.

You can save up to 10 filter presets.

Loading a Preset

  1. Click My Filters to open the dropdown.

  2. Select a preset from the list. The grid updates immediately with the saved filter configuration.

When a preset is active, its name appears at the top of the panel.

Updating a Preset

After loading a preset, you can modify the filters. An asterisk (*) next to the preset name indicates unsaved changes. Click the save icon next to the preset name to overwrite the preset with the current configuration.

Renaming a Preset

Click the preset name at the top of the panel to edit it directly. Type a new name (up to 50 characters) and the change is saved automatically.

Deleting a Preset

  1. Click My Filters to open the dropdown.

  2. Hover over the preset you want to remove and click the trash icon.

Filter Options

The following table lists all available filter types. Depending on your Flex container configuration, additional custom fields and labels may also appear as filter criteria.

Bookmark

Not set, Blue bookmark, Red bookmark

Filter segments by their bookmark color at the language level.

Comments

not empty, contain text, within, before, after, between, match category, match task, resolved, unresolved

Search and filter segments by their comments. The resolved and unresolved options are mutually exclusive and can be combined with other comment filter options. For example, you can filter for comments that contain a specific keyword and are still unresolved.

Key

is empty, contains, starts with, ends with, matches plain, matches wildcards, regex

Locate segments by their key using text matching or patterns.

Last Change

within last, after, before, between

Filter by the date of the last text edit on the segment.

Last Change by

User names or editor types

Filter by the author of the latest update to both text and metadata.

Last Edit

within last, after, before, between

Date filter applied automatically after the execution of a batch action.

Last Editor

User names or editor types (Human, Machine Translation, etc.)

Filter by the author of the latest text version.

Lock State

Locked, Unlocked

Filter segments by their lock state. The two options are mutually exclusive: select one to show only locked or only unlocked segments.

Max Segments

equals

Limit the total number of segments displayed in the grid. Enter a numeric value to cap the results. When active, the grid shows only up to the specified number of segments, regardless of how many match the other filters. This is useful for previewing a fixed set of segments before creating a job or running an export.

Previously Edited By

Human, Machine Translation, Perfect Match, etc.

Filter by the translation origin or method used in earlier versions.

QA Issues

has issues, has no issues, has error issues, warning, information, specific rules issues

Filter segments by quality assurance results.

Status

Neutral, Confirmed, Error

Focus on segments by their language-level status.

Text - Language

is empty, matches plain, matches wildcards, matches regex

Find translations by keyword or pattern in a specific language.

Text Length

Min length, Max length

Filter segments where a min/max character length is configured.

Text Revisions

is empty, is not empty

Identify segments that have or have not been revised.

Transaction ID

contains, starts with, ends with, matches plain, matches wildcards, regex, any of

Trace segments tied to specific import operations. Use the Any of operator to search for multiple transaction IDs at once: enter one ID per line. Transaction IDs require exact values when using "Any of".

Custom fields (text, hyperlink)

is empty, matches plain, matches wildcards, matches regex, any of

Filter by text-based custom field values. The Any of operator accepts multiple values (one per line) to match segments where the field contains any of the listed values.

Custom fields (image)

is set, is not set

Filter segments with or without an image attached.

Custom fields (picklist) / Labels

is set, is not set, or select specific values

Filter by picklist or label values. When a picklist is available, use checkboxes to select one or more values.

Filtering by Change History

When the Logs feature is enabled on your platform, additional filtering options become available for custom fields and labels. These options let you search for segments based on the previous value of a metadata field and the date of the last metadata change, providing an audit trail for tracking what changed and when.

Follow these steps to filter by change history:

  1. Add a filter for the custom field or label you want to inspect.

  2. Configure the main filter condition as usual (for example, set the field to a specific value or "is not empty").

  3. Below the main condition, two additional options appear:

    • Previous value: Search based on the value the field had before the most recent change. This looks into the last recorded value in the segment's timeline. Configure it using the same operators available for the field type (for example, "is not empty" or "contains").

    • Last change: Filter by the date and time when the metadata field was last modified. Uses the same date operators as other date-based filters ("within last", "after", "before", "between").

You can combine these options across multiple custom fields and labels in the same filter set. For example, find all segments where a custom field was changed to "Complete" and a specific label was removed within the last 7 days.

Show segments where a translation is missing

Add a Text filter for the target language, set the operator to "is empty".

View segments with a specific label value

Add a filter for the label and select the desired value from the picklist.

Find segments by key

Add a Key filter, choose "matches wildcards" or "regex", and enter the pattern.

Isolate segments from a specific import

Add a Transaction ID filter, use the "any of" operator, and enter the transaction ID.

Review segments from multiple imports at once

Add a Transaction ID filter with "any of" and enter all relevant transaction IDs, one per line.

Find all locked segments

Add a Lock State filter and select Locked.

Review segments with unresolved comments

Add a Comments filter and select unresolved. Optionally combine with "contain text" to narrow by keyword.

Find segments where a custom field was recently changed

Add a filter for the custom field, then use the Last change sub-option with a date range (requires Logs to be enabled).

Check which segments had a specific previous value

Add a filter for the custom field, then use the Previous value sub-option with "contains" and the value you are looking for (requires Logs to be enabled).

Preview the exact segments that will go into a job

Add a Max Segments filter and enter the job size limit (for example, 500). The grid displays only the first 500 matching segments, so you can review them before opening the Job Creation Wizard.

Work with a fixed subset of segments for export or review

Combine a Max Segments filter with other filters (such as status or language text) to narrow results to a precise, manageable set.
